About the role:
Working with one of Queensland's largest providers of education and training, this department is undergoing a period of growth and requiring the needs of an experienced Contract Administration Officer, at the AO3 level. You will be responsible for providing administrative support and advice to a team of Managers and Contract Administrators, in a dynamic, high pressure and client focused environment. Your key duties in this role will include but not be limited to:
Provide efficient and effective confidential support to the ICT Contract Management Unit, including the coordination of correspondence according to organisational guidelines.
Coordinate administrative support for the team members within the Vendor Management Office, including the provision of advice and support on, procurement, asset and accommodation issues.
Assist with the end of month Vendor Management Office budget reconciliation across all cost centres within the unit.
Coordinate a variety of contract governance committee arrangements including scheduling meetings, booking venues and equipment, catering and distribution of documentation.
Manage diary appointments, travel and accommodation bookings and host visitors for the Vendor Management Office, as required.
Document all vendor related formal and informal communications between contract managers and vendors in a systematic manner that provides an audit trail.
Develop, initiate, coordinate and maintain effective procedures and systems to ensure the provision of effective administrative services to the Vendor Management Office.
Maintain a sound knowledge of the organisations protocols, procedures and systems used when performing work for senior managers.
Contribute to the achievement of quality policies by encouraging an environment where high quality work is achieved and is supported by the adherence, development and improvement of quality system documentation.
Develop and maintain effective communications with staff at all levels of the organisation to enable timely and effective achievement of agreed outcomes.
To be successful in this role you must possess:
Minimum 3+ years experience in contracts administration, within a government contracts/administrative environment.
Strong ability to contribute to and work within a team environment.
Well developed communication skills both verbal and written, coupled with excellent interpersonal skill.
Strong ability to prioritize workload and work towards conflicting deadlines.
